Guide insights show how people interact with one guide. Use them to find weak openings, confusing steps, and guides that are working well.
Insights are available on the Pro plan.
## Open guide insights
Open the shared guide page as the guide owner.
Use the **Insights** action in the owner controls.
Select the time range you want to review.
You can also open a guide from [Workspace insights](/workspace-analytics).
## What you will see
| Metric | What it tells you |

| Play rate | How often viewers started watching after opening the guide. |
| Completions | How often viewers reached the end. |

## Step dropoff
The dropoff chart shows where viewers stop watching. Use it to decide what to improve first.
If many viewers leave near the beginning, shorten the intro and get to the first action faster.
If viewers leave in the middle, check the surrounding steps for unclear wording, missing context, or too much detail.
## Improve the guide
* If play rate is low, make the title, placement, or opening promise clearer.
* If viewers leave early, remove setup detail and move the first useful action earlier.
* If viewers leave mid-guide, split the workflow or simplify the surrounding steps.
* If completion is strong, reuse the guide as a model for similar workflows.

# Customize guide style

Adjust backgrounds, borders, zoom, cursor, highlights, and section slides.
Use style controls when a guide should look more polished, match your brand, or make an action easier to notice.
## Open style settings
Select a guide from the dashboard.
Use the editor sidebar to choose **Background**, **Border**, **Zoom**, or **Cursor**.
Watch the preview as you make changes.
## Background
Use **Background** to choose what appears behind the screenshot. You can use a solid color, a built-in image, or an uploaded image.
For customer-facing guides, keep the background simple enough that the product remains easy to see.
## Border
Use **Border** to adjust how screenshots are framed. A subtle border or shadow can help the captured screen stand out from the background.
## Zoom
Use **Zoom** when the action happens in a small part of the screen. Select the step, set the zoom level, and move the focus point to the area viewers should notice.
If every step needs the same treatment, apply the zoom style across the guide.
## Cursor and highlights
Use **Cursor** and **Highlight** to show where the viewer should look next.
* Show highlights for important clicks, fields, or choices.
* Hide highlights when the screenshot already makes the action obvious.
* Hide the cursor on steps where it distracts from the message.
## Section slides
Section slides are useful for openings, transitions, and short chapter breaks. Choose the light or dark appearance based on the background and how much contrast the title needs.
Style settings are available on Free and Pro. Pro removes the Guideless watermark.
# Capture a workflow

Install the extension and record a browser workflow as guide steps.
Capture is the first draft of your guide. Walk through the workflow once, and Guideless turns the important actions into editable steps.
Install it from the Chrome Web Store.
The Chrome extension connects Guideless to the tab you select and sends captured steps back to the editor.
Before recording, open the page where the workflow begins. Close extra popovers, notifications, or private details you do not want in the guide.
## Start recording
Start from the workspace or folder where the guide should live.
Open the dashboard and click **Create**.
Pick the browser tab that contains the workflow.
Click **Start recording**. Guideless opens the tab and shows the capture widget.
If you start from inside a folder, the new guide is saved there. Otherwise, it is saved to **Unsorted**.
## Record the flow
Move through the workflow the way a first-time viewer should see it. Include the clicks and decisions that matter, then finish on the screen that confirms the work is done.
Shorter captures are usually better. If a process has several branches, make separate guides for each path.
## Capture controls
The capture widget stays on the page while you record.

## Hide sensitive information
Use **Blur** when the page contains names, emails, account IDs, customer data, or anything else that should not appear in the finished guide.
The widget switches into blur selection mode.
Click the page elements that should be blurred.
Click **Blur** again to continue capturing the workflow.
## Finish the capture
Click the checkmark when the workflow is complete. Guideless opens the editor so you can remove mistakes, adjust wording, add narration, and polish the guide before sharing.
If a capture gets messy, you can still keep going. The editor is where you delete, reorder, rename, and refine the steps.
## If capture is not available
* Use Chrome or another Chromium-based browser.
* Make sure the extension is installed in the same browser profile you use for Guideless.
* Reload the tab you want to capture if it was already open before installing the extension.
* Sign in to Guideless, then start the capture from the dashboard.

## Browser access
These are the browser permissions Guideless uses for capture:
| Chrome access | Why Guideless needs it |

| Tabs | Shows the browser tabs you can capture and switches to the tab you select. |

The extension stays idle until you click **Start recording**. Guideless only collects capture data while a recording is in progress, and only the minimum needed to build the guide from the tab you selected.
# Edit a guide

Clean up steps, narration, and timing after capture.
After capture, Guideless opens the editor. This is where you turn a raw recording into a guide someone can actually follow: remove noise, tighten the wording, and make each step obvious.
## Editor layout
| Area | What you use it for |

## Rename a guide
Click the guide title in the editor header, enter the new title, and continue editing. The same title appears on the share page.
## Reorder or remove steps
Drag timeline thumbnails to reorder them. Open a step menu when you need to duplicate, download, or delete a step.
Use deletion freely. A shorter guide is usually easier to watch than a complete record of every click.
## Add a screenshot step
Use the plus button in the timeline, or choose **Add step** from a step menu. This is useful when you need a transition, confirmation screen, or extra context that was not captured.
## Edit the narration
Open **Speech** to edit each step transcript. Transcripts are used for captions and voice-over, so write them the way you want the guide to sound.
Keep narration to one action per sentence. Short lines are easier to follow when spoken aloud and easier to scan as captions.
## Adjust focus
For each step, use the visual controls that help the viewer notice the next action:
* Use zoom when the important area is small.
* Use cursor and highlights when a click or field needs attention.
* Use blur when the page contains private or distracting information.
Section slides use simpler appearance controls because they do not need cursor or highlight settings.

# Manage guides and folders

Organize guides, folders, and deleted items from the dashboard.
The dashboard is the home for your workspace. Use it to create guides, organize folders, invite teammates, open [Insights](/workspace-analytics), and manage settings.
Good organization does not need to be complicated. A few clear folders are usually enough.
## Create a folder
Go to the workspace where the folder should live.
Hover over **Folders** in the sidebar.
Click the add button, enter a folder name, and choose an icon if you want one.
To create a folder inside another folder, open the parent folder's menu and choose **New folder**.
Use the arrow beside a folder in the sidebar to expand or collapse its nested folders.
## Move or delete a folder
Open a folder's menu and choose **Move to** to place it under another folder or move it back to
the folder root.
Deleting a folder also deletes every folder inside it. The guides in those folders are kept and
moved to **Unsorted**.
## Move a guide
Open the menu on a guide card and choose **Move to**. Then select the folder where the guide belongs.
Guides created inside a folder are saved to that folder. Guides created outside a folder are saved to **Unsorted**.
## Rename or duplicate a guide
Open the menu on a guide card to rename or duplicate it.
Use duplication when you want a variant of a guide, such as a customer-facing version and an internal version.
Duplicating a guide counts toward your plan limits.
## Delete or restore a guide
Deleting a guide moves it to **Recently deleted**.
From **Recently deleted**, you can restore the guide or permanently delete it.
Permanent deletion cannot be undone.
## Folder tips
* Name folders after durable things, such as teams, product areas, customer journeys, or processes.
* Keep guide names short and specific.
* Move useful guides out of **Unsorted** so teammates can find them later.
* Avoid deep folder structures unless your team already works that way.
Start simple. It is easier to add structure later than to maintain a folder system nobody remembers.

Free is best when you are trying Guideless, creating your first few guides, or proving the workflow with a small project.

This article walks you through the basic Guideless flow: set up the extension, capture a browser workflow, make a few edits, and share the guide.

## Create a guide
Sign up at [guideless.ai/auth](https://guideless.ai/auth).
Create a workspace for your guides, folders, and teammates. If you already have one, Guideless
opens the dashboard.
Add Guideless from the [Chrome Web
Store](https://chromewebstore.google.com/detail/guideless-ai-documentatio/ocgogifakflnbbkeejgepiancegepgem),
then return to the dashboard. See [Capture a workflow](/guides/capture) for recording and access
details.
Click **Create**, choose the browser tab you want to capture, then click **Start recording**.
Complete the process the way a viewer should follow it. Keep it focused on one clear outcome.
Click the checkmark in the capture widget to open the editor.
Remove mistakes, reorder steps, adjust wording, and add voice-over if you want narration.
Click **Done editing**, open **Share**, and copy a link. Use a link or embed when possible so edits stay live and [Insights](/analytics/overview) keep tracking.

# Embed a guide

Add a public guide to a help article, website, LMS, or internal page.
Use an embed when viewers should watch the guide inside another page instead of opening a separate link. Embeds are usually better than exported video because edits stay live and [Insights](/analytics/overview) keep tracking.
Embeds work best when the guide sits next to the article, checklist, or training material it explains.
## Before you embed
Make sure the guide is public. In the Share dialog, choose **Anyone with the link can view**.
Private guides show a not-public message when embedded.
## Copy embed code
Open the guide and click **Share**.
Select **Get embed code**.
Click **Copy code**.
Add the iframe to your help center, website, documentation page, LMS, or internal tool.
## Tips for a clean embed
* Paste the code into an HTML or embed block if your editor has one.
* Give the guide enough width and height so the player controls are comfortable.
* Keep the surrounding page focused on the same workflow as the guide.
Embedded guides show the latest version. Update the guide once, and the embed updates with it.
# Export an MP4

Download a guide as an MP4 file with optional burned captions.
Use MP4 export only when a guide needs to live outside Guideless links and embeds, such as in an LMS, presentation, archive, or offline workflow.
MP4 export is available on the Pro plan.
## Export a guide
Open the guide and click **Share**.
Select the download or export option.
Use Draft for quick review, HD for most publishing, or 4K when you need the highest resolution.
Decide whether captions should be burned into the video.
Click **Export**. When the file is ready, click **Download**.

Burned captions become part of the video and cannot be turned off by the viewer.
## Prefer links or embeds

Use MP4 when the destination requires a static video file.
Re-export the MP4 after changing the guide. Downloaded files do not update automatically.
# Share by link

Make a guide public or private and copy a share link.
Use a share link when viewers should open a guide in the browser. Links are the best default for sharing because edits stay live and [Insights](/analytics/overview) keep tracking.
Links are the fastest way to send a guide to a customer, teammate, support thread, or launch note.
## Copy a share link
Select a guide from the dashboard.
Click **Share** from the guide page, or click **Done editing** from the editor and then open **Share**.
Choose **Only you can view** or **Anyone with the link can view**.
Click **Copy link** and send the URL where viewers need it.
## Access options

## After you share
Existing links always open the latest version of the guide. If you edit the guide later, you do not need to send a new link.
Viewers see the guide player. Guide owners also see actions for editing, sharing, and opening [Insights](/analytics/overview).

# Single sign-on (SSO) with SAML

Set up SAML single sign-on for your Guideless organization.
SAML SSO is available on the Enterprise plan.
Single sign-on lets your team access Guideless using credentials managed by your company.
Guideless supports SAML 2.0 using service provider-initiated SSO.
## Set up SSO
There are two parts to the setup: creating a SAML application in your identity provider and sharing its details with Guideless.
### 1. Create a SAML application
Contact [team@guideless.ai](mailto:team@guideless.ai) to begin. We will provide the information your IT team needs to configure SSO.
Configure the application to send the user's work email.
### 2. Share your SAML metadata
Send us one of the following:
* Your SAML metadata XML file, preferred.
* A metadata URL.
* Or your issuer, SSO login URL, and public signing certificate.
After we receive the metadata, we will configure and test the connection and confirm when it is ready.
## Sign in with SSO
Once SSO is active, users can open [guideless.ai/auth/sso](https://guideless.ai/auth/sso) or select **Sign in with SSO** on the Guideless login page.
Guideless does not support login started directly from an identity provider dashboard tile. If your identity provider displays a tile, configure it as a bookmark to:

## Google Workspace
In Google Admin, create a custom SAML application under **Apps → Web and mobile apps**.
1. Download the Google metadata XML.
2. Enter the ACS URL and Entity ID supplied by Guideless.
3. Use the user's primary email as the Name ID.
4. Assign the application to the appropriate users or groups.
5. Send the metadata XML to Guideless.

# Members and invites

Invite teammates, manage roles, and remove workspace members.
Use members and invites when more than one person needs access to a workspace. Shared workspaces keep guides, training material, and process documentation in one place.
Each accepted invite adds a paid seat to your plan.
## Roles
| Role | Typical access |
| ------ | ------------------------------------------------------------- |
| Member | Create and work with guides in the workspace. |
| Admin | Manage workspace settings, invitations, members, and billing. |
| Owner | Full workspace control, including workspace deletion. |
Owners can assign the owner role. Admins and owners can manage most members, but admins cannot manage owners.
## Invite a teammate
Click **Invite members** in the dashboard sidebar, or open **Settings** and choose **Invite**.
Click **Invite via email**.
Select the role the person should have.
Send the email invitation.
Only admins and owners can invite members.
## Manage pending invites
Open **Settings** -> **Invite** to view or cancel pending invitations.
## Manage members
Open **Settings** -> **Members**.
Admins and owners can change member roles or remove people from the workspace.
Removing a member removes their access immediately. Guides they created stay in the workspace.
## Accept an invitation
Invitation links open the acceptance flow. After accepting, the person can access the workspace from the dashboard.
# Narration

Edit transcripts, refine wording with AI, choose voices, and generate voice-over.
The **Speech** panel is where you shape how a guide sounds. Edit the script, ask AI for a cleaner version, choose a voice, and generate voice-over when the wording is ready.
## Edit transcripts
Each step has a transcript. That text appears as captions and is also used for generated voice-over.
Click a transcript to edit it. Keep each line short and direct, especially for customer-facing guides.
Steps with empty transcripts are skipped when voice-over is generated.
## Refine with AI
Use **Refine speech** when the draft narration needs help.
You can ask Guideless to:
* Shorten the narration
* Make the tone friendlier
* Make the wording clearer for a new customer
* Rewrite one step or the whole guide
AI suggestions appear before they are applied, so you can review the changes first.
## Choose a voice
Select the guide and open the **Speech** panel.
Click the current voice in the panel footer.
Search or filter by language and voice style, then play samples.
Choose the voice you want to use for the guide.
## Available languages
Guideless supports generated guide text and voice selection in 43 languages.
Guideless looks at the captured page and chooses a guide language when there is enough clear evidence. If the language is unclear or unsupported, Guideless uses English.
You can always edit transcripts after capture.
These languages are available in the voice picker. You can write or edit transcripts in any of them, then choose a matching voice before generating voice-over.

If a guide needs to be in a specific language, make the product UI and transcript text match that language before generating voice-over.
Preview a few voices before generating audio. The best choice often depends on whether the guide is for customers, teammates, or formal training.
## Generate voice-over
Click **Generate voiceover** when the transcripts and voice are ready.
If you edit the transcript or change the voice later, regenerate voice-over before you share the link, update an embed, or export an MP4.
## Captions
Captions use the same transcript text. Viewers can turn captions on or off in the player. For MP4 exports, you can choose whether captions are burned into the video.
## Writing tips
* Lead with the action.
* Keep one idea per step.
* Remove filler words unless they add useful context.
* Match the transcript language to the selected voice.

Workspace insights show how guides perform across the active workspace. Use them to find popular guides, stale content, and folders that need attention.

## Open workspace insights
Go to the workspace dashboard.
Select **Insights** in the sidebar.
Choose a folder or time range if you want to narrow the report.
## What you will see

## Guide table

Manage workspace profile, billing, account settings, and workspace deletion.
Open **Settings** from the dashboard sidebar to manage workspace details, billing, members, invites, and your personal account settings.
## Settings areas
| Area | What it is for |
| ---------------- | ---------------------------------------------------- |
| Settings | Workspace name, logo, leaving, and deletion. |
| Invite | Email invitations and pending invites. |
| Members | Active members, roles, and member removal. |
| Billing | Plan, billing portal, upgrades, and payment details. |
| Account settings | Personal account settings for the current user. |
## Update workspace profile
Admins and owners can update the workspace name and logo from **Settings**.
The workspace logo appears in the workspace UI and account switcher.
## Leave a workspace
Use **Leave workspace** to remove your own access.
The workspace stays available for other members. A sole owner cannot leave until another owner is assigned.
## Delete a workspace
Owners can delete a workspace from **Settings**.
Deleting a workspace removes it for everyone, including its guides, folders, members, and settings.
Deleting a workspace cannot be undone.
Before deleting, export or copy anything that still needs to live somewhere else.
## Billing
Admins and owners can manage billing from **Settings** -> **Billing**.
